Job responsibilities

  • Greet and welcome visitors in a warm and professional manner.  Ensure applicable procedures for visitor management are followed.
  • Answer phone calls, screen and direct them to the appropriate person or department. 
  • Provide accurate information to visitors and callers regarding the organization, its services, and general inquiries. 
  • Maintain a clean and organized reception area, ensuring it is always presentable. 
  • Receive and distribute mail, packages, and deliveries. 
  • Schedule appointments, meetings, and conference room bookings as requested. 
  • Assist CRES team with administrative tasks such as data entry, filing, photocopying, and scanning documents. 
  • Manage office supplies inventory, place orders when necessary. 
  • Assist with organizing company events or meetings, including catering.
  • Maintain confidentiality of sensitive information and handle inquiries with discretion. 
  • Collaborate with other administrative staff to ensure efficient office operations. 
  • Maintain or support integrity in CRES Systems and tools including, but not limited to workplace management (Office Space).
  • Follow the facility’s emergency response procedures.
  • Point of contact for audio visual technology used within the Site.
  • Performs other work-related duties as assigned. Minimal travel may be required (up to 25%).


What we’re looking for

  • High school diploma or equivalent required; additional certifications in office administration or related field preferred. 
  • Proven experience as a receptionist or in a similar customer-facing role. 
  • Excellent verbal communication skills with professional phone manner. 
  • Strong interpersonal skills with the ability to interact with visitors, clients, and employees at all levels of the organization. 
  • Exceptional customer service skills with a friendly and approachable demeanor. 
  • Proficient in using office equipment such as telephone systems, printers, scanners, etc. 
  • Basic computer skills including MS Office (Word, Excel, Outlook). Strong organizational skills with the ability to multitask and prioritize tasks effectively. 
  • Attention to detail and accuracy in handling administrative duties. 
  • Ability to work independently with minimal supervision while also being a team player.
